    Position Title: Special Collections & Archives Librarian

    Location: San Antonio main campus

    Office/Department: University Library and Archives

    FLSA Status (Exemption Category): Exempt

    Work Status: Twelve months; faculty rank; non-tenure

    Reports To: Director of the Sueltenfuss Library

    Supervisory Responsibility: No.


    Job Summary:

    The Special Collections & Archives Librarian is an integrated member of the Sueltenfuss Library Department and works collaboratively with other librarians and staff to advance the mission of the library to "empower members of the OLLU Community to pursue wisdom in a dynamic and complex information environment by fostering inquiry, discovery, and learning through quality resources." Specifically, the Special Collections Librarian and Archivist provides management of three university collections: Sueltenfuss Library Special Collections, University Archives, and the Center for Mexican American Studies & Research (CMASR) Archives. Reports to the Director of the Sueltenfuss Library.

    Essential Functions:

    · Serves as the University Archivist and collaborates with divisions, departments, and units to ensure that paper and digital records are properly maintained and transferred to the University Archives on a regular basis.

    · Provides original, complex, and copy-cataloging and classification for rare books and special collections materials (including the Texana Collection) using RDA, DCRMR, and LCC.

    · Provides original cataloging of university theses, dissertations, and other library materials as needed.

    · Provides arrangement and description of archival materials held in the University Archives and CMASR Archives, including in finding aids and external or internal inventories using Microsoft Office, DACS, and EAD3.

    · Ensures physical and digital preservation of special collections and archival materials. Monitors temperature and humidity in collection spaces. Makes recommendations to the Director of the library related to space, storage, and preservation of collections.

    · Provides reference services related to special collections and archives including answering reference and research questions, giving tours of the collections, and developing and maintaining relevant LibGuides.

    · Plans and executes collaborative outreach programs designed to integrate special collections into the curriculum, making rare books and other unique collections accessible to the campus community and broader scholarly community.

    · Develops and implements policies and procedures for special collections and archives in collaboration with the Director of the Library.

    · Evaluates, selects, implements, and manages a digital repository. Leads and participates in digitization projects.

    · Supervises auxiliary staff, including undergraduate or graduate student workers, interns, practicum students, volunteers.

    · Writes or co-writes grants for the preservation, digitization, and online access of collections materials.

    · Provides web content and collaborates with colleagues on the organization and layout of websites related to collections.


    Additional Responsibilities:

    · Serves on university and library committees as appropriate.

    · Pursues personal professional development; contributes to the profession through scholarship and service to library organizations.

    · Act as a collection development selector for assigned subject areas.

    · Participates with other OLLU librarians in deaccessioning and other collection maintenance projects for all library and archival collections.

    · Evaluates and receives material donated to the library and archives.

    · Performs all other duties as assigned.


    Knowledge, Skills, and Abilities:

    · Knowledge of metadata standards (RDA, DCRMR, DACS, LCSH, LCC, RBMS thesauri)

    · Knowledge of encoding standards (MARC21, EAD3)

    · Reading knowledge of Latin and Spanish

    · Familiarity with best practices for special collections and archives management.


    Education and Experience:

    · Master's Degree accredited by the American Library Association

    · 2nd Master's in related humanities field, preferred.

    · 3-5 years professional experience working in an archives or special collection, management experience preferred.

    · 1-3 years of experience creating original catalog records for special collections materials.
